The Help Scout alternative that stops charging you per user

Unlimited agents on a flat price, Instagram DMs and WhatsApp beside your email queue, and AI drafts plus two-way translation included rather than billed per resolution.

Last updated August 20, 2026

Help Scout is one of the most likeable products in this category, and people rarely leave it because they dislike it. They leave because the per-user bill grew, or because their support moved onto channels the product treats as secondary to email. If either of those is why you are here, this page is a straight comparison.

Who this is for#

You run support for a small team and Help Scout has served you well. Now you have five or eight people who each need to answer a few conversations, the monthly invoice has crept up, and a growing share of your inbound arrives as Instagram DMs about orders rather than email. This page covers where HelpStack fits better and where Help Scout is still the stronger product.

Help Scout vs. HelpStack, an honest comparison#

Help Scout is excellent at what it is built for: email support that feels human. Its shared inbox is beautifully judged, Docs is one of the better knowledge-base products in the category, and its whole design philosophy is about not making support feel like ticketing. If email is the overwhelming majority of your volume and craft matters to you, Help Scout deserves its reputation.

HelpStack is built around a different centre of gravity. Social DMs are first-class rather than additional, the AI drafts on every channel, and we charge per organisation rather than per person.

Help Scout figures verified against helpscout.com/pricing on 20 August 2026. Plans and AI pricing change, so confirm on their site before deciding.

The free plan is more generous than most, but it is capped. Help Scout's free tier gives you five users, one inbox and one Docs site, which is genuinely useful for a small team. The wall is the sixth user and the second inbox. Ours does not cap agents, though AI and translation are paid features, so which free plan suits you depends on whether your constraint is people or capability.

What HelpStack does well#

Unlimited agents on every plan. A six-person team is €29/month here and $150/month on Help Scout Standard. Nobody has to weigh up whether a colleague answers enough messages to justify a seat.

AI included, not metered per answer. AI reply suggestions come out of your plan's credit allowance. Help Scout's AI Answers bills $0.75 per resolution, which is clean and predictable per unit but becomes a second variable line on your invoice as volume grows.

Two-way translation on every channel. Auto-translation covers 40+ languages in both directions across email, Instagram, Messenger, WhatsApp and chat. Agents read in their language, customers read in theirs, with nothing pasted between tools.

Live store data in the conversation. If you run Shopify or WooCommerce, the AI can pull a customer's real orders, tracking and account details mid-thread and answer "where is my order" without an agent leaving the inbox.

EU-based and EU-hosted. Customer data stays in the EU by default, which is a simpler GDPR position than routing support data through a US provider.

Where HelpStack is the better fit#

  • You have more than three or four people who need inbox access
  • Social DMs are a real share of your volume rather than an occasional extra
  • You want AI usage inside your plan rather than as a per-resolution charge
  • You sell across languages and want translation built in
  • You run a Shopify or WooCommerce store and want order data inside conversations
  • You are EU-based and want EU data residency by default

Where Help Scout is the better fit#

  • Email is the overwhelming majority of your volume and you care about doing it beautifully
  • You want a mature customer-facing knowledge base; Docs is better than ours
  • Your team is five people or fewer and the free plan covers you
  • You value a long track record and a large, settled customer base
  • Per-resolution AI pricing suits you better than a credit allowance

Help Scout is a genuinely good product. If email craft is the thing you optimise for, we would not try to talk you out of it.

Making the switch#

Connect your support email, add Instagram, Messenger and Facebook with OAuth, and drop a script tag for the widget. Most teams are live in under an hour. Invite everyone, since seats are free, then turn on AI reply suggestions and auto-translation. Run both tools in parallel for a week if you want.

Frequently asked questions

How does HelpStack pricing compare to Help Scout?
Help Scout charges per user: $25/user/month on Standard, $45 on Plus and $75 on Pro. HelpStack charges per organisation, so €29/month on Starter covers any number of agents. A six-person team is €29 here against $150/month on Help Scout Standard. The more people who need access, the wider that gap gets.
Does Help Scout have a free plan?
Yes, and it is a good one: five users, one inbox and one Docs site, at no cost. It is capped though, so the sixth user or the second inbox moves you to a paid plan. HelpStack’s free plan does not limit agents but keeps AI reply suggestions and auto-translation on paid tiers.
How is AI billed on each product?
Help Scout charges $0.75 per AI Answers resolution, billed monthly on top of your seats. HelpStack includes an AI credit allowance in the plan price, so drafting comes out of what you already pay. Per-unit pricing is easier to reason about; an included allowance is easier to budget. Which is cheaper depends on your volume.
What does Help Scout do better than HelpStack?
Email and documentation. Its shared inbox is exceptionally well designed for email-first support, and Docs is a more mature customer-facing knowledge base than ours. If those are the core of your support operation, Help Scout is the better product.
Where is customer data stored?
HelpStack is EU-based and stores all customer data within the EU. Help Scout is US-based, so if EU data residency matters for your compliance posture, check their current DPA terms before deciding.
