The Freshdesk alternative that does not charge you per agent
One flat price, unlimited agents, and email, Instagram DMs, Messenger, WhatsApp and live chat in a single shared inbox with AI-drafted replies and built-in translation.

Most people searching for a "Freshdesk alternative" are hitting one of two walls. The free program that got them started has run out, or the per-agent bill has quietly grown past what a small support team can justify. A third group wants social DMs sitting in the same queue as email rather than configured as a side channel. HelpStack is built for all three.
Who this is for#
You are a small team, maybe two to ten people, handling support for an online store, a SaaS product or a service business. Freshdesk works, but you are paying for every person you add to the rota, and half of your inbound now arrives as Instagram DMs and WhatsApp messages rather than tickets. This is a straight comparison, including the places Freshdesk is clearly the stronger product.
Freshdesk vs. HelpStack, an honest comparison#
Freshdesk is a mature, well-built help desk from Freshworks with a very large customer base. Its ticketing is deep, its automations and SLA handling are genuinely good, its reporting is far more capable than ours, and it scales to support organisations much larger than the ones we serve. If you need skill-based routing, custom dashboards and multi-SLA policies, Freshdesk is a serious product and we are not going to pretend otherwise.
HelpStack is narrower on purpose: a shared inbox a small team can run without an admin, where the social channels are first-class and the AI drafts replies for a human to approve.

The free plan is the part people get caught by. Freshdesk's Free Program is not the open-ended free tier it used to be. It now covers one to two agents for the first six months, after which you are on a paid plan. If you picked Freshdesk because it was free and that window has closed, that is worth knowing before you renew rather than after.
What HelpStack does well#
Unlimited agents on every plan. Including the free one. You are not charged for adding the weekend cover, the founder who answers a few DMs, or the seasonal hire. This is the single biggest cost difference for a small team and it compounds with every person you add.
Social channels are not an afterthought. Instagram DMs, Messenger and WhatsApp land in the same shared inbox as email, in the same queue, worked by the same agents. No separate configuration path, no second interface.
AI that drafts, not decides. AI reply suggestions propose an answer from your knowledge base and the conversation history; your agent reviews, edits and sends. Every reply a customer receives has been read by a person.
Two-way translation on every channel. Auto-translation covers 40+ languages in both directions, so agents read in their own language and replies go out in the customer's. No separate service, no multilingual hire.
Live the same day. Connect channels with OAuth or a script tag and invite your team. No implementation project.
Where HelpStack is the better fit#
- You have more than two or three agents and per-seat pricing is the thing that hurts
- A meaningful share of your inbound arrives as Instagram DMs, Messenger or WhatsApp
- You sell across languages and want translation in the product
- You are EU-based and want EU data residency by default
- Your Freshdesk Free Program window has run out and you are re-evaluating
Where Freshdesk is the better fit#
- You need deep ticketing: multi-SLA policies, skill-based routing, custom dashboards, audit logs
- Your reporting requirements go beyond volume and response times
- You are a larger support organisation with an admin who owns the tool
- You are already invested in the wider Freshworks suite and the integration matters
- You want a single vendor covering CRM, ITSM and support together
If that list describes you, Freshdesk is the better product and switching would be a downgrade.
Making the switch#
Connect your support email, add Instagram, Messenger and Facebook with OAuth, and drop a script tag for the widget. Most teams are live in under an hour. Invite every agent, since seats cost nothing, then turn on AI reply suggestions and auto-translation. Run both tools in parallel for a week if you want; the free plan makes that cost nothing.
Frequently asked questions
- Does Freshdesk still have a free plan?
- Not in the open-ended form it once had. Freshdesk now offers a Free Program covering one to two agents for the first six months, after which you move to a paid plan starting at $19 per agent per month on annual billing. HelpStack’s free plan is ongoing and does not cap the number of agents, though AI reply suggestions and auto-translation are paid features.
- How much does HelpStack cost compared to Freshdesk for a small team?
- HelpStack charges per organisation, not per agent, so a five-person team is €29/month on the Starter plan. The same five people on Freshdesk Growth is $95/month, and on Pro it is $275/month, both at annual-billing rates. The gap widens with every agent you add. Compare against your actual headcount rather than the entry price.
- Can HelpStack handle Instagram DMs and WhatsApp like Freshdesk?
- Yes, and they are first-class rather than configured as additional channels. Instagram DMs, Facebook Messenger, WhatsApp, email and website chat all arrive in one shared inbox and are worked from a single queue by the same agents.
- What does Freshdesk do better than HelpStack?
- Ticketing depth and reporting, clearly. Multi-SLA policies, skill-based routing, custom dashboards, audit logs and sandbox environments are all things Freshdesk does well and HelpStack does not attempt. If those are requirements rather than nice-to-haves, Freshdesk is the better choice.
- Where is customer data stored?
- HelpStack is EU-based and stores all customer data within the EU, which keeps EU-to-EU processing straightforward and simplifies GDPR compliance for European businesses.
